What is GapCM?
GapCM is an all-in-one vacation rental Channel Manager and Property Management Software (PMS). It allows hosts, owners, and managers to synchronize booking calendars across multiple websites, automate operational tasks (like cleanings and check-ins), view comprehensive financial details, and optimize booked nights to fill gaps in their calendars.
Who was GapCM built for?
GapCM is built by hosts, for hosts. It serves independent short-term rental hosts, multi-property managers, boutique hotels, and lodge operators who want to scale their operations, automate manual work, and protect their business from platform dependency.
How does GapCM help fill gaps in my calendar?
Unlike basic managers, GapCM is built for complex property configurations. It allows you to market composite listings safely (for example, listing a lodge as an entire rental, while simultaneously selling the individual rooms). It also supports villa pairings and split bookings to capture guests who are flexible on switching units for a discounted rate, dramatically improving occupancy.
What are some of your product featuers?
Airbnb Import: Automatically import Airbnb Listings with your profile link.
Manual Bookings: Easily input direct bookings manually or Blocks to all platforms.
Group Functionality: Create Custom groups of units which can be used for management such as different multi-calendar views or availability searches (operations), group them for Tax or Reporting (Management), or create complex listing availability dependent on several properties (Functional).
Calendars:Individual Calendars and custom Multi-calendars can be used to see the real situation in an individual property or across multiple properties.
Availability:Easily find open units for inquired dates across a group of properties, and easily and quickly provide that list to prospective guests with links.
Double Booking Alerts:Easily see if a double booking exists anywhere in the future across any listing and the details of those bookings. Get an Email alert and resolve these situations immediately.
Linked Bookings:You can easily create a duplicate "Child" Reservation that disassociates from the "Parent". The parents will continue to be synced with the platform, while the Child is free to move to other units, Providing a useful way to move guests and resolve issues in situations where platforms cannot process a change or where doing so would cause potential issues.

🔄 Calendar Sync & Channel Integrations
Which vacation rental channels are supported?
We support synchronization with leading booking platforms, including Airbnb, VRBO, and Expedia, as well as any other calendar network that supports the industry-standard ICAL format.
Any valid ICAL Link can be used to import bookings, so smaller platforms and custom websites can easily be connected. ICAL Connections work in addition to and alongside other forms of Synchronization and data collection to support resilient and timely data integrity.
How fast does the calendar sync update?
Synchronization frequencies depend on your subscription plan. Our Free Tier syncs daily, the Basic Tier refreshes every hour, and our Professional Tier synchronizes data every 10 to 15 minutes to guarantee immediate protection against double bookings.
Note that we are actively and continually working to improve and build additional resources for Synchronization and data extraction. We prefer direct connections, But if those connections come with strings attached or at a significant cost, we develop other ways to do what's needed. Our vision is Diversity to avoid being overly dependent on a single point of failure, and that applies to our development process as well. We have multiple different, concurrent ways to sync, extract data, and perform actions across platforms in order to build a resilient management system for your business.
What is ICAL monitoring and link repair?
External booking networks sometimes experience downtime or throw errors on calendar link URLs. GapCM actively monitors your ICAL links, alerts you in real time to failing connections, and automatically attempts to refresh and repair broken links in the background before they can cause double bookings.
🛡️ Policies & Security
What is the Good Faith Use and Prohibited Activities policy?
We require hosts to use our services in good faith, in line with legitimate business and hospitality management. To maintain server stability and protection for all users, we strictly prohibit activities that generate excessive server load, automated web scraping without authorization, reverse engineering, or exploiting composite ICAL rendering loops. Violations will result in immediate service suspension.
How is guest and payment data secured?
We use SSL/TLS encryption for all data in transit. Sensitive credentials and integration tokens are encrypted at rest. Furthermore, all payment and subscription transactions are handled securely by Stripe; we do not store raw credit card details on our servers.
How long do you retain guest ID photos and documents?
Guest ID and passport scans uploaded via the guest spaces are stored in a dedicated, isolated, and encrypted storage system. They are preserved only for local compliance audits and are automatically deleted after the statutory retention period (e.g., up to 3 years depending on local laws) expires.
📋 Operations & Compliance
How does the guest self-check-in portal work?
Hosts can share custom "Guest Space" links with guests. From this secure link, guests can verify their reservation details, upload required contact information or ID documentation, and access check-in instructions. You can even set up a tablet-based kiosk at your property using this portal.
Does GapCM support local regulatory reporting (e.g. Japan Minpaku)?
Yes. GapCM is designed to help hosts comply with the strict regulatory environments in Japan. The system securely collects guest register details and outputs formatted Minpaku reports to help you track the statutory 180-day annual lodging limit for each property.
Can I manage cleaner and manager accounts separately?
Yes. On our paid tiers, you can create dedicated team accounts. This allows you to restrict managers and cleaners to only see properties and operations (like cleaning schedules and check-in times) that are relevant to their roles, keeping your master financial data secure.
